About The Job

The HR and Admin Assistant has the overall responsibility is management of the front office and day-to-day administrative support to the company’s administration and operations functions.

Duties and Responsibilities
  • Attend to and guide visitors/ customers appropriately and ensure only authorized persons access the company premises
  • Coordination of the use of the boardroom by booking all scheduled meetings for optimal use.
  • Ensure all necessary requirements for meetings including equipment, refreshments and other materials are provided in time.
  • Supervision of the office support team and ensuring the office premises are clean and tidy.
  • Maintain and requisition office supplies required for operations such as stationery, kitchen supplies, toiletries and other consumables.
  • Appropriately handling correspondence on emails, phone calls, enquiries and requests.
  • Ensure all incoming postal mails are sorted, registered and handed over to the respective staff.
  • Ensure validity of all statutory permits, certificates and licenses and notifying the relevant persons on timely basis
  • Management and coordination of deliveries and transportation logistics of the staff using the company’s vehicle
  • Support teams and visitors in organizing travel schedules, flights, transport and accommodation as may be required
  • Provision of requested items as per the requisition process
  • Manage stock reorder levels and provide monthly stock reports
  • Responsible for quarterly stock taking and timely submission of variance report
  • Ensure stores are clearly labelled and well arranged
  • Support the recruitment process by posting job adverts, leave schedule, induction schedule and follow up, meeting booking, preparation and coordination, Receiving and collecting application/ work records. Monitor health and safety and coordinate training activities.
  • Ensure compliance with company policies, departmental procedures and ISO 9001:2015
  • Any other duties that may be assigned by the supervisor and the management from time to time.
